Cancellation Policy

At Kop Coach Transportation, we understand that plans can change unexpectedly. However, as a professional transportation service, we also need to ensure the availability of our vehicles and staff for our clients’ needs. Therefore, we have established the following cancellation policy to provide clarity and fairness to both parties:

1. Cancellation Timeframe:
– We require a minimum notice period for cancellations to allow us to adjust our schedule accordingly and potentially offer the vehicle to other clients.
– Cancellations made within 24 hours of the scheduled pick-up time are subject to our cancellation policy.

2. Cancellation Fees:
– Cancellations made within the designated notice period may be subject to a cancellation fee.
– The amount of the cancellation fee is determined based on the timing of the cancellation and the nature of the booking.
– The cancellation fee will be communicated to the client at the time of booking and will be clearly outlined in the booking confirmation.

3. Non-Refundable Deposits:
– In some cases, particularly for large events or specialized services, we may require a non-refundable deposit to secure the booking.
– This deposit serves as a commitment from the client to utilize our services for the specified date and time.
– The deposit amount and its non-refundable nature will be clearly communicated to the client at the time of booking.

4. Cancellation Process:
– Clients are required to notify us of any cancellations as soon as possible to minimize inconvenience.
– Cancellations must be made by contacting our customer service team directly via phone or email.
– We will provide confirmation of the cancellation and any applicable fees or refunds in writing for the client’s records.

5. Extenuating Circumstances:
– We understand that there may be situations beyond the client’s control that necessitate a cancellation, such as extreme weather conditions or medical emergencies.
– In such cases, we will work with the client to find a suitable solution, which may include rescheduling the booking or providing a credit for future use.
– Documentation or proof of the extenuating circumstances may be required for consideration.

6. Refunds:
– Refunds for cancellations made within the designated notice period will be processed in accordance with our refund policy.
– Refunds may be issued via the original payment method or as a credit towards future bookings, depending on the circumstances.
– Refunds for cancellations made outside of the designated notice period or for non-refundable deposits are subject to our discretion.

7. Amendments to Bookings:
– Clients may request amendments to their bookings, such as changes to the pick-up time or location, within a reasonable timeframe and subject to availability.
– Amendments requested within the designated notice period may be subject to additional fees or charges.

By booking our limo services, clients agree to abide by our cancellation policy and acknowledge that failure to do so may result in cancellation fees or forfeiture of deposits.
